WhatsApp AI for hotels and villas: answer enquiries and take direct bookings 24×7

Most hotel and villa enquiries in India now start on WhatsApp, and most are lost to slow replies. Here is how an AI assistant answers them from your own rate card, takes direct bookings and knows when to call a person.

A WhatsApp AI assistant for a hotel or villa answers guest enquiries on your own business number, around the clock, using your rate card, room details and house policies. It checks availability, sends photos and a virtual tour, holds dates and shares a payment link, then hands anything unusual to your team with the full chat attached.

That is the short answer. The rest of this guide covers what such an assistant should and should not answer, how it connects to your inventory, what WhatsApp's rules allow you to send before and after a stay, and how to tell whether it is actually earning its keep.

Why do guests in India enquire about hotels on WhatsApp?

Guests in India enquire on WhatsApp because it is the app they already use for everything else, and a chat feels faster and more personal than a booking form. They can ask a loose question, send it at midnight, share the reply with the family group and come back to it later without losing the thread.

For boutique hotels, homestays and private villas this is especially true. The guest is usually comparing three or four similar properties, has questions a listing does not answer, and wants a human-sounding reply before committing. A "WhatsApp us" button on the website, the Google Business Profile and Instagram turns that curiosity into a conversation you own.

The problem is response time. Enquiries arrive late at night, during the check-in rush and on the day your manager is off. A guest who waits three hours for a rate has often booked somewhere else by the time you reply.

What can a WhatsApp AI assistant answer for a hotel or villa?

A well-built assistant answers the repetitive, factual questions from information you supply, and passes judgement calls to staff. The rule is simple: if the answer is written down in your rate card, policies or FAQs, the assistant can give it; if it needs a decision, a person gives it.

Enquiry typeThe assistant answers fromGoes to staff when
Availability for datesLive inventory from your channel manager, PMS or sheetInventory cannot be read, or dates are blocked for maintenance
Rates and what is includedYour published rate card, meal plans and seasonal ratesThe guest asks for a discount, a long-stay rate or a group deal
Photos, room layout, virtual tourApproved photo sets and tour links per room categoryThe guest wants a live video call of a specific room
Location and directionsMap pin, distance from the airport and station, parking notesA pick-up needs to be arranged with a driver
Check-in and check-out timesYour stated times and early or late policyAn early check-in must be confirmed against the previous booking
Pets, children, extra bedsYour written house rulesThe request is outside the rules and needs approval
Events, weddings, buyoutsCapacity, spaces and the basic processAlways, after collecting dates, guest count and budget
Complaints or payment problemsNothing beyond an acknowledgementImmediately

The assistant should never invent a rate, a policy or a promise. If the information is not in what it has been given, the correct reply is "Let me check with the team", followed by a real handover. That is the difference between an AI assistant built on your own data and a generic chatbot that guesses.

English, Hindi and Hinglish

Guests write the way they speak: "Kal ke liye 2 rooms available hai?", "Breakfast included hai na?", or plain English from a foreign traveller. A modern language model reads all three and can reply in the language the guest used. The facts underneath — rates, times, rules — stay identical, so you maintain one set of information, not three. Keep the tone consistent with your property, and test a handful of Hinglish questions before going live.

How does a WhatsApp chatbot take a direct booking?

A WhatsApp chatbot takes a direct booking by confirming availability, holding the dates for a fixed time, sending a secure payment link and marking the booking confirmed once payment succeeds. Staff are only pulled in for exceptions, so a routine two-night booking can complete at 1 a.m. without anyone waking up.

Here is a sample flow for a private villa. It is illustrative — it shows the steps, not a record of any real property's conversations.

  1. Guest: "Hi, is the 3-bedroom villa free 14 to 16 November? We are 6 adults."
  2. Assistant checks inventory, confirms both nights are free, states that the villa sleeps six, and quotes the nightly rate and inclusions from the rate card.
  3. Assistant offers three buttons: Hold it, See the villa, Talk to a person.
  4. Guest taps See the villa. The assistant sends four photos and a link to the property's 360° virtual tour.
  5. Guest: "Pets allowed? We have a small dog." The assistant answers from the house rules.
  6. Guest taps Hold it. The assistant collects the lead guest's name, blocks the dates for an agreed window (say two hours) and sends a payment link for the advance.
  7. Payment succeeds. The assistant sends a confirmation with the booking reference, check-in time and location pin, and the booking is written to your inventory and CRM.
  8. If payment does not arrive before the hold expires, the dates are released automatically and the enquiry is flagged for a staff follow-up.

Two details matter. The hold must actually block inventory, or you risk selling the same nights twice. And the payment link should come from your own payment gateway, so the money and the guest relationship stay with you.

Sending a virtual tour inside the chat

Step 4 is where a 360° virtual tour earns its place. A guest deciding between similar villas can walk the rooms, the pool and the view from inside WhatsApp, which answers questions that ten photographs do not. We cover what to capture for heritage and lake-view properties in virtual tours for Udaipur hotels. In Udaipur, Kredosys built the booking website and 360° tours for Oru Villas — exactly the kind of asset an assistant can send the moment a guest asks "what does it look like?"

How does a WhatsApp booking assistant sync with your channel manager, PMS or Google Sheet?

It syncs by reading availability from, and writing bookings back to, whichever system is your single source of truth for inventory. For larger hotels that is a channel manager or PMS through its API; for a small villa it may genuinely be a well-kept Google Sheet. What matters is that there is one source, not two.

  • Channel manager or PMS: the assistant queries availability and rates live and pushes confirmed bookings back, so OTA calendars close automatically. This depends on your provider offering API access, so check before you plan around it.
  • Google Sheet: workable for one to five units. The sheet holds dates, rates and holds; the assistant reads and updates it. The risk is someone editing a cell by hand mid-booking, so lock the structure.
  • CRM: every enquiry, booked or not, should land in a CRM with the chat history, so staff can follow up on the guests who asked but did not pay.

The failure modes are the usual integration ones: duplicate records, stale availability and silent sync errors. Our CRM integration guide covers how to avoid them. If you do not yet have a booking website to send guests to, that is the place to start — see websites.

Do direct WhatsApp bookings really reduce OTA commission?

Yes. Every booking that completes on your own WhatsApp number and payment link avoids the commission an online travel agency would charge on that stay. OTAs typically take a percentage of each booking's value, and the exact rate is set in your agreement with each platform, so check your own extranet statements for the real figure.

OTAs are not the enemy. They bring guests who would never have found you, and most properties should stay listed. The opportunity is the repeat guest, the referral and the person who found you on Instagram or Google Maps and only went to an OTA because nobody answered their message. Those are the bookings a fast WhatsApp assistant can keep direct.

A simple test: look at last month's OTA bookings and ask how many of those guests had messaged you first. Each one is commission paid on a guest who was already talking to you.

Direct booking also gives you the guest's number with consent, which is what makes the pre-arrival and post-stay messages below possible.

What WhatsApp messages can a hotel send before arrival and after checkout?

A hotel can send pre-arrival and post-stay messages using Meta-approved utility templates, as long as the guest has opted in and the message relates to their own booking. Free-form replies are only allowed inside the 24-hour customer service window that opens when the guest messages you; outside it, you must use a template.

Meta's template category guidelines are strict about what counts as utility. A utility template must be specific to the user and must not promote, upsell or cross-sell. Mixed content — a booking reminder with a spa offer attached — is treated as marketing. A generic "rate us" survey will not be approved as utility either; a feedback request tied to a specific stay is far more likely to be.

Good candidates for utility templates:

  1. Booking confirmation with reference, dates and payment received
  2. Pre-arrival message two days before: check-in time, location pin, ID requirements
  3. Day-of-arrival message with a staff contact and directions
  4. Post-stay message with the invoice and a feedback link for that stay

Opt-in is not optional. Meta's opt-in policy requires that the guest has agreed to receive messages from your business, named clearly. A checkbox on the booking form, or a clear line in the chat ("We'll send your confirmation and check-in details on WhatsApp"), covers it.

Costs have also changed. As of October 2026, Meta's WhatsApp pricing page states that each business phone number gets 1,000 free service messages a month, after which service messages are charged per message, and that utility templates sent inside an open customer service window stopped being free on 1 October 2026. Budget for messaging as a small running cost, and check the current rate card for India before planning volumes.

How do you measure whether a hotel WhatsApp assistant is working?

Measure it on two numbers above all: first response time and enquiry-to-booking rate. If guests get an accurate answer within a minute and a higher share of enquiries turn into paid bookings than before, it is working. Everything else is diagnosis.

MetricWhat it tells you
First response timeWhether guests are answered before they move on, including at night
Enquiry-to-booking rateThe share of WhatsApp conversations that end in a paid booking
Hold-to-payment rateWhether the payment step is losing people; a low rate points to friction or price
Handover rateHow often staff are needed; a rising rate shows gaps in the information supplied
Direct share of bookingsWhether direct is growing relative to OTA bookings over a season
Wrong-answer reportsAny reply staff had to correct; the target is zero

Take a baseline before launch — even a rough one from your phone's chat history — so you are comparing like with like. Compare the same season year on year where you can, because a Udaipur property in December and in June are different businesses.

Frequently asked questions

Can a WhatsApp chatbot take hotel bookings on its own?

Yes, for routine bookings. It can check availability, quote rates from your rate card, hold dates and send a payment link, then confirm once payment succeeds. Discounts, group deals, events and anything outside your written policies should be handed to staff, with the full conversation attached so the guest never has to repeat themselves.

Do I need the WhatsApp Business API for an AI assistant?

Yes. Automated replies, buttons, payment links and integrations with a channel manager or CRM run on the official WhatsApp Business Platform, not the free WhatsApp Business app. It works on your own business number, and Meta charges per message for some message types, so factor a small running cost into the plan.

Will the AI give guests wrong rates or make things up?

It should not, if it is built correctly. A hotel assistant must answer only from information you supply, such as the rate card, room details and house rules, and reply "let me check with the team" when something is missing. Test it with real guest questions before launch and track any reply staff had to correct.

Can a hotel send WhatsApp messages to guests after checkout?

Yes, if the guest opted in and you use an approved template. A post-stay message with the invoice and a feedback link for that specific stay can qualify as a utility template. Promotional offers, such as a discount on the next visit, count as marketing templates and are charged and reviewed differently by Meta.

Does a WhatsApp booking assistant replace OTAs like Booking.com?

No. OTAs bring guests who would never have found your property, so most hotels and villas should stay listed. The assistant protects the bookings that should have been direct anyway: repeat guests, referrals and people who found you on Instagram or Google Maps and messaged you first.

Can the assistant reply in Hindi and Hinglish?

Yes. Current language models understand English, Hindi and the Hinglish most Indian guests actually type, and can reply in the language the guest used. The underlying facts stay the same, so you maintain one rate card and one set of policies. Test a few common Hinglish questions before going live to check tone.
